The timeline, phase by phase
4 to 8 weeks out
- Clarify the goal and format (half-day, full day, residential)
- Quietly sound out constraints: mobility, diets, apprehensions
- Shortlist 2-3 candidate activities and request quotes
- Block the date in diaries BEFORE booking (the real bottleneck)
2 to 4 weeks out
- Book the activity, venue, meals and any transport
- Send the invitation with the programme and what to bring
- Collect sign-ups and dietary requirements
- Plan an alternative for those who cannot join the physical activity
The final week
- Confirm headcount with every supplier
- Form the teams by mixing departments
- Prepare the opening words: why we are here, no corporate waffle
- Check the weather and a plan B if the activity is outdoors
The day and after
- A dedicated facilitator (internal or external) — the manager takes part, not runs it
- Photos and shared moments, without forcing anyone
- A quick pulse survey within 48 hours: a score plus one thing to keep/drop
- Follow through: what surfaced (ideas, resolved tensions) is handled on return
The mistakes that cost you
- Picking the activity the manager loves: karting does not bond a team that dislikes it.
- Ignoring physical or dietary constraints: one person excluded and the effect reverses.
- Slotting it on a Friday evening: it is work time, not a tax on the weekend.
- Zero follow-up: without a debrief, the effect fades within a week.
On the budget
Budget €50 to €150 per person for a day with an activity and a meal, €200 to €400 for a residential. Above 30 participants, negotiate group rates.
