Plan a networking dinner that actually creates connections
A successful networking dinner comes down to three things: the quality of the guests, a format that forces people to meet, and invisible logistics. Allow 8 to 12 weeks of preparation — the outcome is decided by the invitations and how you chase them.
Win back the first three hours.

The timeline, phase by phase
8 to 12 weeks out
- Define the goal (leads, community, hiring) and the guest profile
- Set the date, format (seated / walking dinner) and per-head budget
- Book the venue and the caterer
- Line up one or two sponsors if the model depends on them
4 to 8 weeks out
- Send personalised invitations with a registration page
- Publish the registration page (capacity, meal options, waitlist)
- Prepare the content: speaker, pitch, networking activities
- First follow-up with non-responders at 30 days out
The final two weeks
- Close registrations and send the final count to the caterer
- Build the seating plan to mix profiles (never sit colleagues together)
- Print badges and place cards, brief the welcome team
- Send the practical email (parking, timings, dress code)
The day and after
- Name-based welcome and a smooth cloakroom — the first impression
- Hold the run of show (overrunning speeches kill the networking)
- Within 48 hours, send a thank-you with the opt-in attendee list
- Measure: registered vs attended, connections made, qualified leads
The mistakes that cost you
- Inviting too late: under four weeks, decision-makers’ diaries are full.
- Neglecting the waitlist: 10 to 20% drop-outs are normal, backfill them automatically.
- Seating colleagues at the same table: it is comfortable and it defeats the whole evening.
- Skipping the follow-up: without an email within 48 hours, the connections evaporate.
On the budget
Budget €60 to €120 per guest for a quality seated dinner (venue, catering, drinks, badges), often partly covered by a sponsor or an entry fee.
This checklist is generic — your event isn't.
TadaPlan tailors the plan to your date, headcount and budget, then alerts you the moment a critical task slips.
