Plan a company anniversary that leaves a mark
A company anniversary mixes three audiences that do not expect the same thing: the team (pride and celebration), clients (relationship and behind-the-scenes) and sometimes officials and the press (image). The programme has to serve all three without dragging on. Allow 3 to 5 months.
Win back the first three hours.

The timeline, phase by phase
3 to 5 months out
- Define the concept and the message (“25 years of innovation”, not just a cake)
- Decide the guest scope: team only, + clients, + officials/press
- Book the venue (the company’s own site, staged, often has more impact)
- Set the budget and line items: catering, staging, entertainment, gifts
6 weeks to 3 months out
- Send the invitations with online registration
- Build the programme: tour, retrospective, short speeches, highlight
- Prepare the content: retrospective film, photo exhibition, testimonials
- Invite local press and officials if relevant (their diaries fill early)
The final three weeks
- Chase guests and firm up the list (confirm VIPs by phone)
- Set the minute-by-minute run sheet with speakers — speeches: 5 minutes each maximum
- Rehearse the highlight (unveiling, film, signature moment)
- Prepare guest gifts and the press kit
The day and after
- Differentiated welcome: the team hosts clients, leadership hosts officials
- Hold the speech schedule — that is always where it overruns
- Photographer briefed on the expected shots (team, officials, highlight)
- Send photos and thank-yous, communicate in the press and on social media
The mistakes that cost you
- An evening designed for leadership and not for the team: the mood gives it away.
- Endless speeches: past 20 cumulative minutes, you lose the room.
- Inviting the press with no angle: “we are 25” is not a story — prepare the narrative.
- Forgetting the veterans (retirees, founders): they often carry the memory and the emotion.
On the budget
Budget €80 to €200 per guest for a polished reception with entertainment and staging; the retrospective film or signature act often represents 10 to 20% of the budget.
This checklist is generic — your event isn't.
