The timeline, phase by phase
3 to 4 months out
- Define the cause, the fundraising target and the date
- Map the route (with a short family variant) and get it approved
- File the permit requests (each municipality crossed, police)
- Take out event insurance and check volunteer cover
1 to 3 months out
- Open online registrations (solidarity price, optional donation)
- Recruit volunteers: marshals, refreshment stops, welcome
- Find local partners (water, fruit, prizes, PA system)
- Launch local communication: press, schools, clubs, social media
The final two weeks
- Recce the route one last time and set the signage plan
- Set up the refreshment stops and the first-aid post
- Brief the marshals with a map and station instructions
- Send the practical email to registrants (start, parking, weather)
The day and after
- Signpost early in the morning and check volunteers into their stations
- Manage starts, bibs and last-minute sign-ups
- Remove all signage afterwards (it is an obligation, not a detail)
- Announce the amount raised and thank everyone publicly
The mistakes that cost you

- Signposting only the day before: markers sometimes vanish overnight, keep a morning team.
- Refreshment stops too far apart for families: one every 3-4 km on the short loop.
- Forgetting to announce the fundraising result: it is what brings people back next year.
